Travel Insurance
Protect the Journey You've Invested In
Travel insurance is not a footnote. For bespoke, high-value travel in particular, comprehensive coverage is an essential component of the journey — as important as the itinerary itself. The Journey Xpert provides personalised guidance on selecting the right policy for your specific travel profile, destination, and level of activity.
What to Consider
- Trip cancellation & curtailment — protecting your investment if plans change
- Medical emergency & evacuation — particularly critical for remote Africa, Arctic, and off-grid destinations
- Adventure activities cover — many standard policies exclude safari game drives, trekking, water sports, and expedition activities
- High-value item cover — camera equipment, specialist gear, jewellery
- Pre-existing medical conditions — understanding what is and is not covered
- Travel delay & missed connection — crucial for multi-leg itineraries
- Supplier insolvency protection — safeguarding deposits with tour operators and airlines
Our Advice
We strongly recommend specialist travel insurance from a provider experienced in adventure and luxury travel — not a standard annual multi-trip policy. For safari travel, medical evacuation cover with a minimum of £500,000 / $650,000 is essential. For Arctic and expedition travel, search-and-rescue coverage is non-negotiable.
The Journey Xpert works with trusted insurance partners and is happy to make introductions or review your existing policy before you travel.

Best Time to Travel
Timing is the Hidden Architecture of a Great Journey
The same destination can offer entirely different experiences depending on the season. The wildebeest migration is one of nature’s greatest spectacles — but only at the right place and the right time. The Northern Lights require darkness, which means winter. The Faroe Islands in June offer 20 hours of daylight. River levels on the Douro determine which routes are navigable in which months.
Understanding seasonal nuance is one of the most valuable things The Journey Xpert brings to your itinerary planning. We will never send you to a destination at the wrong moment for your travel goals.
Africa: Key Seasonal Guidance
- East Africa (Kenya/Tanzania): Dry seasons June–October and January–February offer the best game viewing. The Great Migration crosses the Mara River July–September.
- Southern Africa (Botswana/Zimbabwe/Zambia): May–October (dry season) is prime for wildlife, with animals congregating around water sources.
- South Africa (Cape Town/Garden Route): October–April is peak summer, with the Western Cape at its most beautiful. Game viewing in Kruger is excellent year-round.
- Rwanda/Uganda (Gorilla Trekking): June–September and December–February (dry seasons) offer the most comfortable trekking conditions.
- East Africa Coast & Islands: June–October and January–February are dry and settled. Avoid the long rains (March–May).

Visa & Documentation
Navigate the Paperwork with Confidence
Visa requirements, entry conditions, and documentation rules are among the most frequently changing elements of international travel — and the consequences of getting them wrong range from inconvenient to journey-ending. The Journey Xpert provides destination-specific, up-to-date guidance on all documentation requirements as part of every itinerary we design.
Key Documentation Considerations
- Passport validity — many countries require 6 months validity beyond travel dates; some require blank visa pages
- Visa on arrival vs. e-Visa vs. pre-arranged visa — requirements vary significantly by nationality and destination
- Multiple-entry requirements — for multi-country itineraries, entry and exit conditions at each border
- Yellow fever vaccination certificates — required for entry to many African countries, and as proof of departure from certain nations
- Special permits — for gorilla trekking (Rwanda/Uganda), Svalbard (Norway), certain restricted national parks and wildlife areas
- Travel documentation for minors — additional requirements when travelling with children, especially across African borders
Our Approach
We provide a personalised documentation checklist for every client, based on their nationality, destination itinerary, and travel dates. We monitor for regulatory changes and will alert you to anything that affects your journey. We also work with specialist visa and documentation services for complex multi-country itineraries.
Our advice: begin the documentation process earlier than you think necessary. For popular gorilla trekking permits, some countries restrict the number of visitors per day — permits must often be secured months in advance.

Health & Wellness
Travel Well. Arrive Ready.
Your health is the foundation of every great journey. The Journey Xpert provides comprehensive health and wellness guidance for every destination we feature — from vaccine requirements to altitude preparation, from hydration in extreme heat to managing long-haul travel fatigue.
We always recommend consulting a specialist travel health clinic or your GP before any international trip, particularly for Africa, remote destinations, and expedition travel. Our guidance is designed to complement — not replace — professional medical advice.
Health Considerations by Destination
- Africa (Sub-Saharan): Malaria prophylaxis is recommended for most safari destinations — consult a travel health specialist for the appropriate medication for your specific itinerary. Yellow fever vaccination is required for many countries.
- East Africa High Altitude: Destinations including the Simien Mountains (Ethiopia) and certain Uganda/Rwanda trekking routes exceed 3,000m. Altitude acclimatisation and awareness of AMS (acute mountain sickness) symptoms is important.
- Arctic & Nordic Expedition: Cold-weather preparation, appropriate layering, and physical fitness for active itineraries. Medical facilities are limited in remote Arctic locations — comprehensive medical cover is essential.
- River Cruise (Europe): Generally low health risk. Sun protection, hydration, and mobility are the primary considerations for most guests.
- Off the Beaten Track: Health infrastructure in remote destinations can be extremely limited. Comprehensive first aid kit, travel health insurance with evacuation cover, and pre-trip health check are strongly recommended.
Wellness on the Journey
Beyond precautionary health, The Journey Xpert embraces wellness as a core element of travel design. We source destinations, lodges, and experiences that actively restore as well as inspire — from private yoga decks at bush camps, to thermal spas in Iceland, to restorative slow-travel itineraries in Provence. If wellness travel is a priority for you, let us know — we will build it into every day.

Emergencies
Prepared for the Unexpected. Ready to Respond.
The overwhelming majority of journeys we design pass without incident. But extraordinary travel — particularly in remote, wilderness, and off-the-beaten-track destinations — requires a level of preparation that goes beyond standard holiday planning. The Journey Xpert ensures that every client departs with a clear, personalised emergency protocol and the confidence to use it.
What We Provide
- 24/7 emergency contact number — a direct line to a Journey Xpert team member, available for the duration of your travel
- Destination-specific emergency contacts — including nearest hospitals with international standards, embassy and consulate contacts, and local emergency services
- Medical evacuation protocols — particularly for remote Africa, Arctic, and off-grid destinations
- Insurance claim support — we work with you and your insurer to navigate emergency claims
- Itinerary contingency planning — backup accommodation, alternative routing, and supplier contacts pre-identified for every trip
Key Emergency Principles
- Keep your travel insurance policy number and emergency helpline number accessible at all times — stored separately from your main documents
- Ensure a trusted person at home has a copy of your full itinerary, passport details, and insurance information
- Register your trip with your country’s foreign travel advisory service (e.g. FCDO for UK travellers; Smart Traveler Enrollment Programme for US citizens)
- In medical emergencies in remote Africa: do not attempt to reach the nearest local facility — contact your insurer’s emergency line immediately for evacuation coordination
- In the event of civil unrest or security incidents: follow your government’s travel advisory guidance and contact The Journey Xpert emergency line immediately
We believe that true luxury in travel is, above all, peace of mind. Knowing that if anything goes wrong, someone who knows your destination and your itinerary is ready to respond. That is what The Journey Xpert provides — not just a beautifully designed journey, but the security to fully inhabit it.
